Searching for Items by Keyword

The Items by Keyword search page enables you to search for primary items in selected applications in auxiliary tables that you have privileges to view, and notes and attachments in primary and auxiliary tables.

To search for items by keyword:

  1. From the Search/Reports link, click the Search by keyword link. The Search by keyword form opens.
  2. The Search in Table box contains the primary table for the selected application, auxiliary tables for which you have privileges to view items, and the Notes/Attachments table. Select the table you want to search from the drop-down list.
  3. Type the keyword or keywords in the Keyword box. Separate multiple keywords with a space. To find an exact phrase, enclose it with quotation marks. To find all items, type an asterisk (*) or leave the Keyword box blank to return all items in a specified table and project.
  4. Select the Match Any option to search for a match on any keywords typed. Select the Match All option to find a match for all keywords typed.
  5. If searching for primary items, select the project you want to search from the Project(s) to Search list. You can select multiple projects. If you select an auxiliary table or the Notes/Attachments table, then select a project from the hierarchy, but doing so has no effect on the search because these tables are not project-related.
  6. Select the Include subprojects check box to include all sub-projects in the query. Use your mouse and the SHIFT and CTRL keys to select multiple projects in the list.
  7. In the Status area, select one of the following options:
    • Active – search for active items in the selected tables.

    • Inactive – search for inactive items in the selected tables.

    • Both – search for active and inactive items in the selected tables.

  8. Return options apply to primary items. Select the Items I Own check box to search for items you currently own. Select the Unowned Items check box to search for items that do not have an owner. Select both check boxes to search for items you own and items that do not have an owner. Clear both check boxes to disregard ownership in your search.
  9. Additional Constraints applies to primary items. Select the Items I Submitted check box to search for items you submitted.
  10. Click the Search button to return items that meet your search criteria.
  11. Click an item link to view the Item Details page.
