Searching for Notes and Attachments

You can search for items to which notes, e-mail messages, files, and URLs are attached. The search is performed on selected tables and you can limit your search by specifying keywords.

To search for notes and attachments:

  1. Select the Application tab that contains the primary items with the notes and attachments that you want to find.
  2. From the navigation pane, click the Search link, and then click Advanced Search. The Advanced Search page opens.
  3. Select the Notes/Attachments table from the Search in Table list.
  4. From the Search Tables list, select the tables that contain notes or attachments you are searching for. You can select multiple tables when you search for notes and attachments; however, for best results, refine your search criteria for better performance.
  5. Use the Keyword box to search for text in the title of notes and attachments. You can also specify keywords contained in the body of notes and e-mail messages attached to an item. For details on keyword searching, refer to Using Keyword Search.
  6. Select the Match All option to search for a match to all the keywords you typed. This is also referred to as an "and" search, meaning that if you type in two keywords, items containing both those keywords are returned. Select the Match Any option to search for a match on any of the keywords you typed. This is also referred to as an "or" search, meaning that if you type in two keywords, items containing at least one of those keywords is returned.
  7. Click Search.
Your search results return as a list of items. The Associated Attachments column contains notes and attachments that meet your search criteria and that you have privileges to view. Click the link to view the attachment. An icon appears next to notes/attachments that are unrestricted, meaning that any user who has privileges to view the item can view the attachment.
Note: Because certain privileges are checked only for the results page that you are viewing, the total number of records shown on Notes/Attachments search results is always an approximation.
