Customizing Self-Registration E-Mail Templates in SBM System Administrator

The following instructions explain how to customize or create e-mail templates used by the Self-Registration feature for external users. For details on this feature, refer to Setting up Self-Registration for Users.

You can also manage these templates from the global Templates view in SBM Application Administrator.

To customize or create Self-Registration e-mail templates:

  1. From the menu, select Options, and then select Settings. The Settings dialog box opens.
  2. Select the External User tab.
  3. To customize or create the e-mail template that confirms registration by a new external user, select the Enable E-mail Confirmation when External User is Created check box, select a .txt, .htm, or .html file from the Confirmation Template drop-down list, and then click Edit.
  4. To customize or create the e-mail template that fulfills a user's request for a new password, select the Enable Password Request check box, select a .txt, .htm, or .html file from the Password Request Template drop-down list, and then click Edit.
  5. Your default text editor launches to display the selected e-mail template. To customize the provided template, modify it using text, Self-Registration template tags listed in User Registration and Password Template Tags, or Base template tags listed in Base Global Template Tags. If you are using an HTML template, you can also use HTML tags and hyperlinks. To create a new template, use the text editor's Save As command to rename the e-mail template. By default depending on your machine locale, the new e-mail template is saved in the appropriate language folder of the SBM Application Engine\emailtemplate\SelfRegTemplates folder.
    Note: All tags must begin with $ and end with (). All text, HTML tags, and hyperlinks in the template are placed in the e-mail message, except for tags themselves. Additionally, all line breaks and spaces are left in the message during template processing.
  6. After modifying the template, save and close the file using the editor's Save and Close commands.
  7. You are prompted to send changes made to the e-mail template to the database. Click OK.
    CAUTION:
    If you click Cancel, you must manually send the e-mail template to the database. Additionally, the file must be manually sent to the database if changes are made to the e-mail template from the text editor when it is accessed outside SBM System Administrator. To place an e-mail template file in the database, select Put Files in Database from the File menu in SBM System Administrator. You must stop and start your Web server before changes will take effect.
  8. Click OK to exit the Settings dialog box.
